1. Explain why you are considering replacement
Is the existing boiler unreliable, beyond an economical repair, unsuitable for a renovation or simply due for a review? Share the symptoms and any recent diagnosis rather than starting with an assumption about the new appliance.
A repair may still be worth considering in some cases. If the fault has not been assessed, start with a heating enquiry and explain what has changed.
2. Identify the current equipment safely
Note the make and model if visible, whether you have a separate hot water cylinder and what controls are fitted. Photographs of the appliance and surrounding area help show access and layout.
Do not remove a casing or reach into an unsafe space to find a label. Existing installation or service paperwork can be useful if you have it readily available.
3. Describe the household, not just the property
Tell the installer how heating and hot water are used. Mention bathrooms, simultaneous shower use and any planned extension or extra occupants. A future bathroom can change the discussion even if it is not part of the immediate job.
If you are keeping a cylinder, ask how the replacement boiler will work with it. If you are changing the hot water arrangement, discuss that as part of the same plan.
4. Make the scope explicit
Ask the quotation to identify the proposed appliance, controls, associated pipework and system preparation. Clarify removal and disposal, any making-good, access requirements and expected interruption to services.
If the boiler is moving, that change needs particular discussion. A price for a straightforward replacement should not be treated as a price for every possible alteration.
5. Check who will carry out the work
For gas work, verify the engineer’s current Gas Safe registration and the relevant work categories on their ID. The Health and Safety Executive explains the checks.
Check the details for the engineer doing the job, and ask for any proposed manufacturer warranty to be explained in writing before you decide.
6. Ask about the handover
Before agreeing the work, ask what commissioning records, certificates and manufacturer registration apply. Confirm the actual warranty terms, any registration deadline and the servicing requirements.
You should also understand how to operate the controls and who to contact if a question arises after installation. Keep the quotation, invoice, instructions and handover paperwork together.
7. Agree the practical arrangements
Confirm dates, access, payment arrangements and how proposed changes will be approved. Tell the installer if someone else needs to provide access or if the home will be occupied throughout.
